How do I set up my services so jobs and inquiries land in ServiceM8?

Each service's outcome decides what lands in ServiceM8. "Take a message" sends the call through as a ServiceM8 inquiry you can turn into a job. "Book it" creates a real job in the calendar of the team member Sophiie picks, blocked out for the service's duration.

Now, we will come to services in Sophiie to see how the ServiceM8 setup can be done properly. And basically, if you set it up properly here, things will look good in your ServiceM8. So, there are essentially two ways you can set up your services in Sophiie that integrates with ServiceM8. You either have Sophiie take an inquiry and it pushes through as an inquiry in your ServiceM8, out of which you can create a job card or contact the customer and then create a job card. Or Sophiie can actually create a proper job in ServiceM8. So, the first one is if you want to do an inquiry. So, for that, I’m using air conditioning install as an option. So, you can see here, there’s a service name, description. If you want, you can give a duration, pricing. Then the outcome is take a message. So, that means Sophiie will take an inquiry. If you click on advanced, you can make sure here that whatever she’s asking gets through to ServiceM8, what is the job address, what is the email address, what type of aircon do you need, and that’s it. So, that is, once Sophiie does that call, she will put that through into ServiceM8 as an inquiry. However, if you want her to book it, then, for example, I’ve selected switchboard upgrade as a booking outcome. So, if I go into this service, same thing, I’ve given it a duration. So, duration is important because that means how long she will book out your ServiceM8 calendar for. Again, pricing. And now, this time, the outcome is book it, right? So, when the outcome is book it, Sophiie will also ask you who is going to handle that job. Now, you will see all your team members from ServiceM8 here. So, when you click on it, you will see your entire team that you have in ServiceM8. You can select who do you want Sophiie to be booking this switchboard upgrade for. So, I’ve selected myself and Alex, and I’ve selected the assignment logic as priority order, which means she will always look to book in the job for me. If I’m not available at that time, then she will look in Alex’s calendar. Other options to divide the bookings are round-robin and least busy. When you are booking, of course, we have the qualifying questions, but then we also have another tab which says, what do you want Sophiie to be collecting in that booking? So, the name and phone is always collected by Sophiie. Do you want her to collect the email address? So, you should toggle it on. And if you want her to confirm that email address, toggle this on. Of course, if you want to get the job address, in some cases, you don’t want the job address because they’re coming to your workshop. So, you can toggle this off. But, in most cases, if you are going out to do the job for them, you need their job. And, again, do you want Sophiie to read it back to confirm? So, these are the settings for one. First part was, how does Sophiie take an inquiry and push it through to ServiceM8? And the second part was, how does Sophiie take a booking and push it through to ServiceM8? The next video, we’re going to do a live call and show you how Sophiie puts it in to Sophiie. Inbox and how will that look in ServiceM8?
